Development Operations Specialist

The development operations specialist provides professional support to help meet fundraising objectives. Working closely with the director of development and other team members, you will assist in optimizing development processes to ensure data integrity and efficient workflows. You will support the planning and execution of  development and fundraising strategies to advance the NAVS and IFER missions. The specialist serves as a frontline representative of NAVS. This hybrid position is based in our Chicago office.

Position Duties and Responsibilities:

  • Timely and accurate gift processing: creating, maintaining, and updating donor records in Virtuous CRM
  • Managing event data, including invitation and registration lists
  • Support the timely acknowledgement of gifts and other donor correspondence, including year-end tax receipts to monthly donors
  • Manage the printing, assembly and distribution of special mailings to donors, such as welcome kits, tribute cards, and donor appreciation gifts
  • Support donor benefits fulfillment
  • Collaborate with accounting manager to support monthly and weekly gift reporting
  • Generate mailing lists for campaigns and communications
  • Assist with the coordination and production of in-house fundraising appeals
  • Support proofreading and editing of communications as needed
  • Manage entry and tracking of pass-through (third-party) payments and donor information
  • Conduct preliminary research on prospective donors and funders using DonorSearch and other research tools
  • Engage with donors and members of the public via phone and email to address and resolve questions; and maintain accurate record of all interactions in Virtuous CRM
  • Support the development and maintenance of guidelines for data operations processes and procedures
  • Assist in the management of NAVS and IFER relationships and reporting with key fundraising organizations (e.g., Combined Federal Campaign) and charity watchdog groups
  • Help ensure that state filing paperwork is submitted accurately and on time
  • Represent the development team and organization in external settings, such as conferences and other events
  • Other duties as assigned

Candidate Qualifications:

  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, and Excel)
  • 1-3 years’ experience working in an office environment
  • Basic knowledge of nonprofit fundraising concepts (campaigns, funds, and appeals)
  • Strong communication skills, both written and verbal
  • Strong interpersonal skills; ability to develop and maintain donor relationships
  • A high level of integrity, with a commitment to protecting donor data and confidentiality
  • Strong attention to detail, especially in entering data accurately and consistently
  • Familiarity with Virtuous or other donor management systems a plus
  • Interest in continually developing new skills to support enhanced database administration
  • Proven ability to meet deadlines and manage multiple projects concurrently
  • Ability to handle all phases of assigned projects, from concept through final delivery
  • Flexible and adaptable, especially to changing priorities, direction, and deadlines
  • Can work independently with minimal supervision and collaboratively within a team environment
